Digitalisation of the Workplace for Financial Services Company

A major global asset manager was facing difficulties with the adoption of digital workplace solutions with most users still running Windows 7 or Office 2010 and a general feeling across the organisation that the quality of IT support could be improved. Faced with the decision to upgrade all productivity and collaboration tools to Office 365 and operating systems to Windows 10, combined with the end of life of existing mobile email solution, our client saw the opportunity to deliver more tangible benefits of technology to their end-users and asked for our support.

How did Wavestone help?

Wavestone setup a flexible and scalable team for this project as the volume of user interaction and level of expertise required evolved over time. Our consultants had the right mix between soft communication skills to engage with end-users and facilitate training, as well as a strong technical understanding of Office 365 technologies and their impact on risk and security frameworks, and data policies. Our attitude was also key to ensure adoption as we empowered users in this journey through direct feedback and floor walking support instead of forcing the digital transformation on them.

  • Firstly, the team completed an analysis of the technology estate including O365 security settings to make sure they were aligned to company policies and practices
  • Then ran a pilot project with circa 250 users to test and validate the continuity of applications and services after the upgrade
  • Followed by an incremental roll-out community by community in order to reduce business impact and start to realise benefits early

This approach allowed us to complete the entire migration of 1,300 users in 6 months which our client confirmed would have been impossible without external support.

The Results

The results were overwhelmingly positive for everyone in the organisation. Senior management appreciated getting results early on and taking a huge step in the direction of adopting modern technology for employees. This project laid the groundwork and expectations for further rollouts of digital workplace solutions and will enable future projects to capitalise on the positive experience received by end-users as they now have a better opinion of their IT.
